Email attachment caps are low by design. Gmail limits attachments to 25 MB, Outlook.com to 20 MB, Yahoo Mail to 25 MB, and most corporate Exchange servers to 10 to 35 MB depending on MIME encoding overhead. If your file exceeds the cap, don't fight the email server, send a link instead. For files up to 2 GB, WeTransfer is the quickest. Why email attachment limits exist
SMTP was standardised in RFC 5321 with practical size expectations around 10 MB. MIME base64 encoding inflates binary attachments by 37 percent on the wire, so a "25 MB" Gmail cap means your file has to be under about 18 MB before encoding. Attachments get stored redundantly on sender and recipient mail servers, which is why IT teams universally cap them tight.
Exchange's default 10 MB limit can be raised to 150 MB, but most admins don't because mailbox bloat and backup costs scale with attachment volume. For files that size, email was never the right channel.
The 25 MB to 100 MB tier
Under 100 MB, you have four clean options. Google Drive attachments through Gmail work inline: hit the attachment limit, Gmail prompts you to "Send as Google Drive link" and generates a shareable URL bound to the recipient's email. OneDrive does the same inside Outlook. iCloud Mail Drop (iOS/macOS Mail) handles up to 5 GB via temporary upload to iCloud, with the recipient seeing a link in their inbox; links expire after 30 days.
These are fine for colleagues and recurring senders, less clean when you need tracking or encryption controls. They also require an account on your side.
The 100 MB to 10 GB tier: transfer services

The 10 GB to 100 GB tier: cloud folders
Past 10 GB, most free transfer services hit their ceiling. The cleanest option is a shared cloud folder. Google Drive (15 GB free, $1.99/month for 100 GB), Dropbox (2 GB free, $11.99/month for 2 TB), OneDrive (5 GB free, $1.99/month for 100 GB), pCloud (10 GB free, EU-hosted). Upload the file to your drive, right-click, get a shareable link, send the link via email.
The upside: no size caps on the transfer itself, only on your storage tier. The downside: the recipient clicks through to your provider's UI, and you're responsible for cleaning up the file afterwards. For one-off transfers, a purpose-built transfer service is usually tidier.
The "huge" tier: terabyte and above
For files over 100 GB, consumer transfer services aren't the right tool. Backblaze B2 at $0.006 per GB per month, Wasabi at $6.99 per TB per month, and AWS S3 Glacier Deep Archive at $0.00099 per GB per month all handle terabyte-scale transfers. You upload via rclone, aws-cli, or a dedicated client, then share pre-signed URLs with the recipient. This is the workflow for video post-production deliverables, scientific datasets, and archival handoffs.
For even larger transfers (5 TB and up), AWS Snowball and Azure Data Box physically ship a rugged storage device. It's faster than any internet connection when you're moving enough data.
Security tradeoffs
Email at least has TLS 1.3 for server-to-server transit on most major providers. File sharing alternatives vary wildly. Google Drive, Dropbox, and OneDrive encrypt at rest and in transit but can read your files server-side. WeTransfer's free tier is not end-to-end encrypted. SwissTransfer, Smash's "Secure" mode, and HexaTransfer implement end-to-end encryption where the server never has the decryption key.
For anything sensitive, end-to-end encryption matters more than where the file is hosted. A GDPR-subject document sent via a link on WeTransfer is technically a personal data transfer under Article 4, and if the recipient's copy gets leaked, it's your breach.
Password-protect and expire
Good practice on any link-based transfer: set an expiry (7 days is usually enough), set a password, and share the password through a different channel (SMS or Signal, not the same email). SwissTransfer, Smash, HexaTransfer, and paid WeTransfer Pro all support per-link passwords.
Links without passwords are effectively public once they leak. A forwarded email, a CC'd assistant, a screenshot in a Slack channel, all possible leak vectors you can't audit.
Inline compression before sending
If you're near the cap but not way over, compressing can bring the file back under. A 40 MB PowerPoint full of screenshots often drops to 12 MB after Compress Pictures. A 35 MB PDF of a scanned contract drops to 5 MB after Ghostscript ebook-quality pass. ZIP and 7z with LZMA2 handle mixed content well.
Don't bother compressing already-compressed formats (MP4, JPG, already-ZIP). You'll save 1 to 2 percent and waste five minutes.
What to send for which size
Under 25 MB: just use email. Between 25 MB and 2 GB: WeTransfer or Google Drive link. Between 2 GB and 10 GB: HexaTransfer, SwissTransfer, or Smash. Between 10 GB and 100 GB: shared cloud folder. Above 100 GB: object storage with pre-signed URLs or physical data transport.
